Property Database Procedure for TD users
If a TD user wants to initiate an addition, move or deletion of Fermilab Property without involving one of the CIS group members, then Jim Hammer will perform the needed steps listed below. If a CIS member is involved, then they are responsible for submitting the necessary info via email using the instructions listed below. Verbal communication of Property data is not acceptable. Use the following link to submit your own Property information. You MUST be located on a machine where you can send email. This will not work on a Safety Kiosk.

Property Database Procedure for CIS members
When any Property Item is received or moved (any item with a metal Property Tag), at least one of the following must be performed before it is released to the user. Use the following web site to determine it's existence in the TD Property Database: Where is an item?
(1) If an item is just being relocated and it is currently listed in the TD Property Database, then a notification must be sent via email identifying the item (prefer the Property Tag number) and the Barcode Location of the new location to Jim Hammer (jchammer@fnal.gov).

(2) If an item is being relocated and is not in the TD Property Database, then the information in the top portion of the Property Transfer Notification form must be supplied via email:
- Sensitive or Capital Number:
- Manufacturer:
- Model Number:
- Model Name:
- Description:
- Serial Number:
- Node Name:
- Location: (door barcode must be supplied)
This information should NOT be taken from the Fermilab Property database but be taken directly from the item so a cross check can be performed to assure the accuracy of the Fermilab Property database information.

(3) If an item is being transferred to a new Custodian, then the entire Property Transfer Notification must be filled out and emailed to Jim Hammer (jchammer@fnal.gov). This form is a legal document that is required by DOE policies for a change in custodian and is a copy of the paper form that was supplied by Fermilab Property.

(4) If an item is being excessed, repaired or returned, then a copy of the MMR that performs this function must be given to Jim Hammer in either paper or electronic format. Please record as many identification numbers for the item as possible on the MMR (PCxxxx, SI-xxxx, FNAL number, Serial Number, etc)
Please Note: It is also expected that the CIS member involved in registering an item using methods 1 thru 3 listed above verify that the item is recorded in the MISCOMP System Registration database. If it is an item that will be connected to the computer network and is not registered here, the CIS member should enter this data to allow the efficient flow of the entire registration process. Property Pass Procedure for Technical Division
(1) Creation: Contact Jim Hammer via email indicating what the Property Number is for the device requiring a Property Pass, where the device is and when it will be available for verification. The device must be physically present and able to be verified for the Property Pass to be created.
(2) Renewal: When you receive an email indicating that an item has a Property Pass that is going to expire, reply to Jim Hammer immediately indicating where the device is and when it will be available for verification. The device must be physically present and able to be verified for the Property Pass to be extended.
(3) After the Property Pass is created or extended, you must have it signed by both of the individuals listed on the form before it is valid. Jim Hammer does NOT need a copy of the signed form.
